Submittal Sets

 The Submittal Set form is used to "bundle" Submittal Items into packages to send for review/approval.

Select Submittal Set

Use to search for existing Submittal Sets.

Add

Click to start a new form.

Header Details

Project:  Used to select the project associated with the Submittal Set.
Phase:  Select the phase (construction, design, etc.) that the project is currently in.  The options for this field are configured by your Administrator in the                Portfolio>Lists>Projects menu.
Set #:  The form number will automatically be populated by PMWeb with the next available numerical value depending on the type of form and project it relates to.
CSI Code:  Enter construction specification code associated with the form (if applicable). 
Description:  Enter a general description for the set (a more detailed description of each Submittal Item should be entered in the details section of this form).
Status:  The status (draft, submitted etc.) will automatically be updated by PMWeb based on the workflow configuration.
Revision:  The revision will automatically be populated by PMWeb with the next available numerical value depending on the type of form and project it relates to.
Date:  Enter the revision date.
From: Select the name of the contact who is sending this Submittal Set.  The available contacts are set up in Portfolio>Lists>Companies.
To:  Select the name of the contact who will be receiving this Submittal Set.  The available contacts are set up in Portfolio>Lists>Companies.
Category:  Select the category (mechanical, electrical etc.) associated with the CSI code.  The available options are configured by the Administrator in the Portfolio>Lists>Lists menu.
Closed Lines:  This field will automatically be updated by PMWeb.  This field is driven by the status of the line items (closed lines = approved status).
Assigned To: Select the company you want to assign to review the Submittal Set.   The available companies are set up in Portfolio>Lists>Companies.

Search

Use the search capability to locate a user from your contact database.

Save

Click to save the Submittal Set.  Once saved, you will be able to add Submittal Items in the details section.

CSI Code

Enter the construction specification code.  Note:  If you enter the CSI Code field in the header area of the form, this field will automatically populate with that code.

Submittal Item

This field will automatically be populated by PMWeb.

Item

This field will only populate if you use the Add Items button to add your line item.

Sub #

This field will automatically be populated by PMWeb.

Company

Select the company that is providing the submittal item.  The available companies are set up in Portfolio>Lists>Companies.

Description

Enter a description of the item.

Manufacturer (Mfr.)

Select the manufacturer associated with the line item.  The available manufacturers are set up in Portfolio>Lists>Companies

Manufacturer # (Mfr.#)

Enter the manufacturer number.

Supplier

Select the supplier.  The available suppliers are set up in Portfolio>Lists>Companies

Revision (Rev.)

This field will automatically be populated by PMWeb.

Status

Select the status (approved as noted, rejected etc.).

Task

Select the task associated with the line item.  The options are configured in the scheduling module.

Start Date

This field will be automatically populated by PMWeb based on the start date of the task selected.

Finish Date

This field will be automatically populated by PMWeb based on the finish date of the task selected.

Lead Time

Enter the lead time.

Due Date

Enter the date the task is due.

Submitted

Enter the date the item was submitted.

Sent

Enter the date the item was sent.

Submit Overdue

This field will automatically be populated with the number of days that the submittal is past due (if applicable).

Returned Date

Enter date the item was returned.

Return Due

Enter the date you want the item returned.

Return Overdue

This field will automatically be populated with the number of days that the return is past due (if applicable).

Forward Due

Enter the date you want the item forwarded.

Review Task

Select the task that needs to be reviewed.

Forwarded Date

Enter the date the item was forwarded.

Notes

Enter additional details regarding the line item.

RFI #

This field will automatically be populated by PMWeb with the RFI associated with the Submittal Set.

Workflow Status

This field will automatically be populated by PMWeb based on the workflow configuration.

Add Items

Click to add existing items.  Once clicked a list of items will be displayed.  Select the one(s) you want to link and drag to the right hand side of the screen.  Once complete click Save and Close located in the bottom right hand corner of the screen.

Generate Transmittal

Click to generate a Transmittal.

Submittal Items

Click to add existing Submittal Items.  Once clicked, a list of items will be displayed.  Select the items to add by checking the box to the left of the item name, then click Save to Record.
